2. Information we collect
The information we need depends on whether you are making an enquiry or instructing us to perform a service.
Enquiries and communications
We may collect your name, telephone number, email address, requested service, message, preferred contact method, correspondence and any information you voluntarily provide. Our website may also record the page on which an enquiry began, referral information, campaign parameters, IP address and browser details for security, service measurement and enquiry attribution.
Client accounts and identity information
When you create or use a client account, we may collect login and account information. If you use Google or Facebook sign-in, the provider may supply basic account information such as your name, email address and provider identifier, subject to the permissions shown to you by that provider.
Service and filing information

3. How we collect information
We collect information directly from you, from another person you authorize, through website forms and the client portal, during calls or meetings, and through email or WhatsApp. We may also receive information from government bodies, professional advisers, banks or other organizations where you authorize us to communicate with them or where doing so is necessary for the agreed work.
4. Why we use information
We use information to:
- respond to enquiries and assess the service you may require;
- verify identity and prepare, review, submit and follow up documents;
- provide legal, registration, licensing, tax-registration, compliance and related administrative support;
- communicate with you and maintain an accurate record of instructions and progress;
- coordinate with government bodies, banks and professional advisers where required for the service;
- operate accounts, authenticate users and protect the portal and website;
- issue quotations, maintain financial and business records and administer our relationship;
- improve our website and understand service demand where you have permitted non-essential analytics;

- banks and financial institutions where banking, capital, payment or verification steps form part of the service;

- website hosting, cloud infrastructure, security, email, communications and authentication providers that support our operations;
- analytics or advertising providers where you have accepted the relevant non-essential technologies;
- law-enforcement, regulators, courts or other parties where disclosure is required by law or necessary to protect legal rights; and
- a successor in connection with a genuine corporate reorganization, merger or transfer, subject to appropriate confidentiality.
Government bodies and other independent recipients apply their own legal duties and retention practices. We do not control how long an independent authority retains a document after lawful submission.
6. Portal uploads, email and WhatsApp
The client portal is designed to keep uploaded documents in protected application storage rather than exposing them through a public link. Authorized personnel may view or process those documents as needed to perform the service.
If you choose to send documents by email or WhatsApp, authorized personnel may need to download, copy or transfer them for review, preparation or submission. Email, WhatsApp and similar providers operate their own systems, so their handling is also governed by their terms and privacy practices. Please use the client portal when you prefer the website’s controlled upload workflow, and do not send documents we have not requested.
7. International processing
We operate from Nepal, but some infrastructure, analytics, authentication, email and communications providers may store or process information in other countries. This can include providers such as Cloudflare, Google, Meta and the operators of our hosting or email services. Where international processing occurs, we use established providers and take reasonable steps to limit disclosure to what is needed for the relevant function. However, overseas recipients may be subject to the laws of the country in which they operate.
8. How long we retain information
We retain information only for as long as reasonably needed for the purpose for which it was collected, an ongoing client relationship, security, accounting, legal obligations or the establishment and defence of claims. Our normal guidelines are:
- Enquiries: up to five years after the last meaningful interaction.
- Client accounts: while the account or client relationship remains active, followed by review when the account has been inactive for five years.
- Uploaded working documents: for the engagement and normally up to twelve months after completion, unless you request continuing support or longer retention is reasonably required.
- Completed matter and business records: normally up to seven years after completion, or longer where applicable law, an unresolved dispute or continuing instructions require it.
- Routine server and security logs: normally up to twelve months, with relevant records retained longer when needed to investigate an incident.
Deletion from backups occurs through the normal secure backup-rotation process. Information already submitted to an independent government body, bank or other recipient is subject to that recipient’s own retention obligations.
9. Security
We use reasonable administrative and technical measures intended to protect information against unauthorized access, alteration, disclosure and loss. Measures include restricted access, authenticated accounts, protected document storage, encrypted sensitive fields where supported, secure transport and activity monitoring. No internet or storage system can be guaranteed completely secure, so please contact us promptly if you believe information connected with your matter has been exposed or misused.
10. Your choices and requests
You may ask us to confirm whether we hold your information, provide access, correct inaccurate information, withdraw consent where processing depends on consent, or delete information that is no longer required. We may need to verify your identity and authority before acting. We aim to address verified requests as soon as reasonably possible, normally within 30 days. We may retain limited information where required by law, necessary for an ongoing filing, accounting or security purpose, or needed to establish or defend legal rights. If a request concerns information already submitted to another organization, we will explain whether you must also contact that organization.
11. Children and minors
Anyone may read our public website. A minor must use our professional services through a parent or legal guardian who can provide valid instructions and any required consent. We do not knowingly ask a minor to enter into a service agreement independently.
